Shiohama Industry Corporation (the “Company”) recognizes the importance of personal information and strictly protects personal information provided by people (the “Users”) to the Company, such as customers and clients, in compliance with the following privacy policy, as well as laws related to personal information.
Collection of personal information
The Company may collect and use the personal information of customers and clients’ representatives (collectively, the “Customers”) to promote its business.
Personal information shall be collected only for the following purposes:
- To fulfill contractual responsibilities to the Customers
- To develop better products and services
- To share useful information with the Customers
- For other valid reasons
When collecting individual personal information, the following shall be performed in principle:
- The Company shall clearly state the purposes of use before collection and use an appropriate method.
- The Company shall not collect personal information beyond the extent required to achieve the purposes of collection.
- When the Company collects personal information from anyone other than the Users , the Company shall confirm with the person that the information has been obtained in a valid manner and shall notify the Users after collection.
- The Company shall not use collected personal information beyond the extent required to achieve the purposes of use.
However, the purposes of use shall not be disclosed in the following cases:
- Obtaining personal information through the exchange of business cards between the Company’s sales representatives and clients’ representatives
Personal information obtained through the above may be used for sales activities, such as emails, direct mails (DM), and face-to-face sales.
Even in such cases, the Company shall use the information within the scope of the basic purposes stated in paragraphs 1 to 4.
Management and protection of personal information
The Company shall fairly and securely manage personal information provided by the Customers in compliance with laws and other social standards.
- The Company shall appoint a supervisor to ensure that personal information is appropriately managed.
- The Company shall take security measures to an appropriate and rational level to prevent unauthorized access from outside or loss, destruction, and falsification of the information.
- Databases containing personal information shall be accessed only by people with access authority and used appropriately even inside the Company.
Use of personal information
The Company shall not use the Customers’ personal information for anything other than the purposes explicitly stated.
However, this does not apply in the following cases:
- When consent is obtained from the Users
- When the information is used in a business analysis or statistics document in such a way that the Users cannot be identified
- When the use of information for anything other than its intended purposes is required by law
Disclosure of personal information to third parties
The Company shall not disclose or provide personal information to third parties without the consent of the Users.
However, this does not apply in the following cases:
- When the consent of the Users is obtained
- The Company may outsource the handling of personal information to a third party to improve services to the Customers. In such a case, the Company shall choose the third party from group companies or subcontractors that are qualified to handle personal information properly and shall stipulate the matters to be observed in an outsourcing contract for appropriate management.
- When personal information is shared with a partner within the scope of the explicitly stated purposes to provide products or services to the Customers
- In case of an emergency that requires the use of information for anything other than its intended purposes by law or when the information needs to be provided to a government organization
Request for correction of personal information
If the Customers need to check or correct their personal information, the Company will respond to the request promptly in a rational manner. Please kindly contact the support desk. The Company informs the Customers of the contact information beforehand.
To prevent incorrect disclosure, the Company shall ask for verification of identity. The following items may be required:
- A document that proves the identity
- Consent of guardians if the Users are under 16
Inquiries, such as opinions and requests
The Company shall be able to freely use opinions, requests, and suggestions submitted by the Customers within the scope of the intended purposes to improve support to the Customer and product services.
However, if the Company discloses or provides the submitted personal information to a third party in such a manner that the Users can be identified, the Company will contact the Users for approval.
Review and revision
Regarding the handling of the Customers’ personal information, each of the above items shall be reviewed and revised whenever necessary. Important matters that have been revised are posted on the Company’s website.
